Have you heard of a Quick Reference Guide? In the corporate world, I made and used them all the time. I actually had them pinned up around my cubicle like wallpaper! While I don’t surround myself with QRGs in my home office, I still rely on these fast reference documents for specific tasks and reminders.
From my business to my personal life, I thrive on organization, and I love to plan! I take the time to look at my day, my week, my month and further to determine the most efficient way to accomplish what needs to get done. Of course, I’m not perfect but who is, right? I’ve been known to get lazy and NOT plan EVERYTHING ahead. But…if it’s important… and I know I need to complete something in the most efficient way possible, I’m going to plan it out.
Planning and Organizing for your Virtual Assistant Practice
If I have a task or a group of tasks that I know I’ll be doing on a regular basis, I’ll create a quick reference guide. This can be for tasks I know I need to get done for my own business, or for the work I do for clients. Either way, the guide is a handy sheet that breaks down the tasks and sub-tasks.

There are some great online tools you can use for documenting a processes or tasks. Whether you prefer an electronic tracking method or a simple word doc, they are versions of a reference guide and will definitely save you time in the long run by ensuring you don’t skip something important. At a higher level, a quick reference guide can be a list of the tasks you do each month for each client, or the marketing tasks you need to keep up with for your business.
What is a best practice?
I am also a huge fan of best practices. Whether it’s the best way I have found to do something, or it’s based on research I’ve conducted, best practices are very handy.
